How we handle your details

This notice explains what happens with the information you give us on aiforcities.earth, the website of the Global AI Summit for Cities. Last updated: September 24, 2026.

Who is responsible

The summit is run jointly by Global Mayors Academy and Living Cities Earth (a Swiss non-profit). Both act as joint controllers of the registration data. Contact for any question about your data: hello@aiforcities.earth.

What we collect, and why

Cookies and analytics

We use Google Analytics 4 to count visits, see which sites and links bring people to the summit (including the campaign tags in the link, such as utm_source), and which pages and buttons help them register. Google Analytics sets its cookies only after you press Allow cookies on the site banner. Until then, or if you choose Essential only, Google receives anonymous signals without cookies or identifiers, which it uses for aggregate counts. Advertising features are switched off. Google acts as our processor; data may be processed in the United States under Google's data processing terms. You can change your choice at any time with the Cookie settings link at the bottom of the main page.

We also count page views and button clicks with our own counter, which stores no cookies and no personal data. A few technical items are stored in your browser only to make the page work, such as your cookie choice and fonts.

Where the data lives

Registrations are stored in a database hosted by Upstash (EU region) and in our own mail system. Confirmation emails are sent from our own mail server. Notifications about new registrations reach the organizing team through Telegram. We share your registration details with nobody else and sell nothing.

How long

We keep registration data for the summit and its follow-up, and delete it within 24 months after the last summit event unless you ask earlier or opt in to longer contact.

Your rights

You can ask at any time what we hold about you, have it corrected or deleted, withdraw your consent, or object to further emails. Reply to any of our emails with the word Remove, or write to hello@aiforcities.earth. If you are in the EU, the EEA, Switzerland or the UK, you also have the right to complain to your data protection authority.

Changes

When this notice changes, the date at the top changes with it.
